Events Planning Checklist
- What is the primary purpose for holding the event ? ( is it to build or strengthen the destination’s image; is it designed to build visitation in low periods; is it to strengthen local community spirit, introduce “new” money to the local economy or perhaps all three)
- Does the concept for the event have the enthusiastic support of local sectors? (most large events impact heavily on the residential and business community, so it pays to have them on side.)
- Does the concept have the support of local government ? (even if it is not financial support, Councils can show tangible support through the allocation of in kind resources, including staffing.)
- Is it likely to be financially viable over the medium to longer term ? (Is there a business plan that outlines viability ? ; is it an event that can grow towards viability or will it always need external support ; who will carry the loss if it is not successful ?)
- Is it likely to be an ongoing event; does it have the potential to grow ? (only ongoing events are likely to be able to change market perceptions of a place and support local branding)
- Does the community have the relevant support infrastructure? (can the destination accommodate and feed the anticipated numbers of visitors; an event that does not generate an overnight stay will probably be of questionable economic value to the destination)
- Does the event concept have the commitment of retailers? (visitors to the event will also want to shop and dine locally; are these local operators prepared to stay open to cater for the visitor needs ?)
- Will there be an out of season economic benefit to the destination ? ( there is little point in holding events when the destination is already operating at near capacity; is it proposed to be held on a public holiday weekend when it will compete with other events held locally or further afield?)
- Is there the local personnel to deliver a quality outcome ? (not just enthusiastic supporters on the committee, but people who understand and are experienced in the logistics of event management)
- Does it have real sponsorship potential ? (not just the local butcher or hardware store, but significant commercial sponsors who can help underpin viability; commercial sponsors are getting harder to find and the event management committee needs skilled people who can source them, secure them and to deliver on the sponsorship agreement)
